YouEDC Capture
- The QA environment is the base of a study. A new study, a copy too, is made with its QA environment at once and opens there: the team builds the eCRF in the QA builder and tries it on test patients, and production waits for the launch. A tested candidate goes into production with “Release in production” (on the card, in the orange QA bar and on the QA versions page) as the next version, with a signature, a reason and an audit record, like a protocol amendment. The production's builder is read-only, and the doctors' data stay there. The QA environment, in a demo too, is made by the person who pressed the button, never by an invented member. Studies with a QA environment made before were turned round by the portal at the update, without loss. QA environment of a study · eCRF versions
- The data entry deadline after a visit. On the new page “Late data entry” the data manager sets how many working days (Mon–Fri) the protocol gives to enter a visit, for example 5, and if needed a deadline of its own for single visits. The portal finds what is late by itself: a visit that took place whose forms are not entered or still drafts after the deadline, and a planned visit whose window closed with nothing entered; a visit marked “did not take place” with a reason is not late. The page lists the late visits by site (patient code, visit, forms, date, working days late) and the log of letters; the site sees its late patients with the “Late entry” filter of the patient list. The letter to a site is one per site with everything late, every working day or once a week on the chosen day, to the principal investigators, all investigators or the monitors of the site; patient codes and links to the portal only, in the recipient's language, without the forms hidden by blinding; at most once a day and only when something is late. A QA environment, demo studies and studies before the launch or from the soft lock send nothing. The letter can be previewed and sent at once; the settings and every letter are in the audit trail. Everyone can switch the letter off in the profile Data entry deadline and letters to the sites · Patients and the visit matrix
- Consent versions by site. The Informed consent page has a new table, Versions at the sites: for each version and each site, the day the site moved to it (its ethics committee's approval) and the decision's number. A consent recorded by hand or signed remotely cannot be signed before that day; while the site's day is not filled, the version's approval date is checked and the portal reminds to fill it. A version can name its protocol version. The patient's card puts consents and visits on one line: a visit done after the site moved to a version asking for re-consent, before the patient signed it, is marked red. Such visits, and consents signed before the site moved, become deviation candidates in YouEDC Trials. Every change of the sites' days is in the audit trail. Informed consent
- SDV plan by visit and form. On SDV and approval → SDV plan the project manager sets, for each form at each visit, 100% SDV, partial SDV or no SDV. With partial SDV the pages of a sample of each site's patients are verified: the site's 1st patient and then every k-th in the order of registration, with the share from the YouEDC Trials monitoring plan by the site's risk or set for the study. The rule is reproducible, the sample is shown on the page and goes to Excel for the TMF with the plan. The Waiting for SDV tab, the form's SDV panel, the visit states, the patient card, the overview and the YouEDC Trials counts follow the plan. Until the plan is edited everything works as before; every change is in the audit trail. Monitoring, SDV and the data manager's approval
- From QA to production in one click. “Release in production” is on the study card in My studies when QA is chosen, in the orange bar on every page of the QA environment and on the candidate's UAT card (the main button once the UAT is approved). It leads to the release form of the working study, where the tested candidate is signed as the next eCRF version, with the reason and the password. Only those who release versions see it. QA environment of a study
- The study's training environment. A second linked copy of the working study where investigators and coordinators practise on invented patients. It has the eCRF version in force (not the draft) and gets each new version by itself after the release. The whole team is taken over with the same roles and sites. The builder is read-only there, ePRO letters go only to the team, marked “[Training]”, and nothing reaches the working study, its exports or counts. In My studies the card's switch is now Production | QA | Training, and its ⋯ menu makes a QA environment, a training environment or a new study on the basis of this one. QA environment of a study
- A new study on the basis of another one. The wizard's Template step has Copy of my study: the eCRF draft (forms, fields, code lists, edit checks, visits, actions on event) becomes the new study's draft. If ticked, the sites are copied without people and a QA environment is made at once. Patients, data, queries, signatures, versions, the team and the audit trail are never copied; the audit trail of both studies says where the copy came from. QA environment of a study
- YouEDC Studio in Capture studies. The study menu has a YouEDC Studio item: the Studio tools work on the study's live data with no export and no upload. Under the upload field of a tool, pick a file of the study: the forms, the patients, queries, visits with dates, page status and the audit trail. A snapshot of the data is kept with one button, and “What changed” compares it with the current data. One sees what the study export would give: one's own sites and blinding. Demo studies already have a snapshot from a week ago. Project data: deliveries and history
- The date of birth given at enrolment for the duplicate check goes straight into the eCRF's date-of-birth field (BRTHDAT and the like) as a draft by the person who enrolled, noted in the audit trail; the site checks and completes the form without typing the date twice Patients and the visit matrix
- Resetting a patient's ePRO PIN. The patient card shows the state of the PIN (chosen, locked, reset), and the investigator or coordinator of the patient's site clicks “Reset the PIN” and chooses the reason. The old PIN and its lock are cleared, the patient's open sessions close, and the card shows once a one-time code of 6 digits, valid for 72 hours. The patient opens the same link, enters the code and chooses a new PIN; wrong codes count as wrong tries. The link, the QR code, the notifications, the reminders and the answers waiting without the internet stay. The audit trail keeps the reset with its reason and the new PIN chosen. Patient questionnaires (ePRO)
YouEDC Studio
- Project data in YouEDC Studio. The study export is uploaded to the project once and kept as a numbered delivery: every tool of the project (data review, what changed, query report, reconciliations, cross-form checks, overdue visits) takes its files from the list under the upload field, with no second upload. A file uploaded right in a tool is kept too, with “Keep” ticked. The history shows who uploaded what and when, with the SHA-256 of each file. Only the project manager and data managers open and use the files; downloads, use in a tool and removal go to the audit trail, and a removed delivery loses its files at once and stays in the history with the reason. Project data: deliveries and history
- The data profiler reads every sheet of an Excel workbook, each on its own tab, and opens the data sheet first, not the cover page: in a MainEDC Modular export that is “Export Data”, while “Data export cover page” keeps its own tab. The row limit is for the whole workbook. Tools that read one table from a file skip the cover page too Data profiler
- The lock forecast now works in YouEDC Capture studies too. Lock readiness is in the study's menu (for the project manager, data managers, monitors and viewers). Open and answered queries, pages awaiting SDV and expected pages not entered count themselves from the study data, with history eight weeks back, so the forecast shows at once, even without a checklist. When work arrives faster than it is closed, the page says so: “No date at this pace”. Lock readiness
YouEDC Safety
- The safety case header has “Open the patient in YouEDC Capture”, leading to the patient's card; only someone whose role and site allow opening that card sees it YouEDC Safety
YouEDC Trials
- Protocol deviation plan. The Deviations tab of YouEDC Trials has a plan: deviation types with a code, category, description, default importance, a “may reveal the treatment” flag and how each is found, by people or by a rule of YouEDC Capture with its parameters. The sponsor's plan is imported from Excel with a template or kept in the portal; every change is a new version with its author, date and audit record. Possible deviations found in the data get their type, category and importance from the plan at once. Two rules join the old ones when the plan switches them on: an eligibility criterion not met for a patient who went on in the study, and a form not filled in at a visit that took place. The rules are fixed and can be validated; no AI. Deviations of blinded types are seen by the unblinded team only YouEDC Trials
- Deviations in the eCRF. A deviation can be linked to a patient, visit, form and field. On a YouEDC Capture form a field with a deviation shows a numbered marker leading to the log, and the Protocol deviations card next to the queries lists the deviations of the form and records a new one at the chosen field. From the log, the place of a deviation leads back to the field. Markers are shown only to those who see the log, at their sites, and never on a form hidden from a blinded member YouEDC Trials · Entering data into a form
- The deviations log finalised and approved. Its author signs the whole log with the password, another person approves it with their own signature or returns it with a note; the approved log goes to the TMF. Any change of the log after the signature asks to sign it again. Lock readiness has a new item “Protocol deviations log finalised and approved” that marks itself when the current log is approved, with the approver's name and time YouEDC Trials · Lock readiness
Portal
- Personal data encryption in the database is postponed until the production installation. At its first start the update decrypts everything stage-a.18 encrypted: the patients' e-mails for ePRO reminders, the name and signature of the remote consent, the notes of contact attempts, the key of pseudonyms and the addresses of letters to patients in the queue. Decryption loses nothing, runs in one transaction and writes a record with the number of values to the audit trail of each study. From then on PII_KEY only seals the SAML signing key and stays in .env. Administration → System shows “postponed”. Encryption per study with a recovery key held by its owner is ready in the code and will be switched on for the production installation. Security and personal data · Administration
- Deleting a whole project or one copy of it. In Administration › Projects every row has the bin icon: production, its QA and training environments, and demos. The deletion page offers “The whole project” (production with every environment; a demo with its YouEDC Studio twin) or “Only QA” / “Only Training”. You confirm with the project code and your password (an electronic signature), and every step goes to the portal audit trail. What is deleted lies 30 days in the trash below the list of projects: nobody sees or opens it, and the Portal Owner can restore it or delete it at once; after 30 days it goes for good. Production with patients cannot be deleted (ICH E6(R3), 21 CFR Part 11, local law): it can only be “Closed and archived”, so the study becomes read-only and its full archive is built in the background. If it was closed by mistake, “Back to work” returns its former stage. A test installation with invented data can switch this rule off in Settings Administration
- A study's name and identifier. Next to the name on the overview of a study or a DM project there is now “Rename” for the manager and a portal administrator. The study code became its permanent identifier: it never changes and stands in brackets next to the name, e.g. “Osteoarthritis in dogs (DEMO-DOG)”, in the overview header, the casebook, the biostatistics PDF, the visit note, DM documents, the validation package, the site's ISF, the README of exports and invitation letters. A study can be renamed after the database lock too, and every rename goes to the audit trail (old, new, who); the QA environment is renamed with the study. The creation date on the study page now shows the time in the reader's time zone. Study overview and settings
- “My suggestions” with their number is now in the side menu and on the “Profile” page: the status and answers are there without writing a new suggestion Suggest to the developer · Your account
- Only your own projects. A portal admin used to see every project of the portal mixed together in My studies and could not tell their own. Now, as for everybody, it shows only the projects where you are in the team: those you created and those you were invited to. An admin sees other people's projects, demo ones included, only in Administration › Projects. The newest added comes first. Every card says “Owner” or “My role: …” and, in small print under the name, who created it and when. Hover over any badge or icon of a card (tap it on a phone) to see what it means; the same hint now works across the portal for icon buttons, status badges and marks. The counters, the filters and the search at the top also count only your projects Administration
- Company sign-in over SAML 2.0. A connection in Administration › SSO now has a protocol: OpenID Connect or SAML 2.0 (ADFS, Microsoft Entra ID, Okta, Shibboleth, Keycloak). For SAML the admin pastes or uploads the provider's metadata or gives its https address, and hands the portal's metadata to the company's IT department: the entity ID, the Assertion Consumer Service address and the certificate that signs the portal's requests. The portal accepts only an answer signed with the provider's certificate from the metadata, reads only the signed part (no assertion swapping), refuses DTDs and entities, checks the issuer, the audience, the recipient, this browser's request and the validity times, and accepts each assertion once. From there on it works as with OpenID Connect: domains, the link to the user, password sign-in closed, the company's own second factor, and the audit trail records the sign-in with its protocol. Encrypted assertions are not used: the answer travels over TLS. Sign-in with the company account (SSO)
- Two roles with clear names. The portal's main administrator is now called the Portal Owner («Владыка портала» in Russian): they see every user and every project, run Administration and delete other people's projects. Whoever created a project is its Project administrator (formerly Project manager): the team, the settings and the rest, but only in their own projects and where they were made administrator. The server checks the rights. Nobody's role changed, only the names did, in the interface, letters, help and documents; older audit records show the new names Administration · Sites and team
Improvements and fixes
- The mouse on the home page runs slower; pointed at or tapped, it stops and keeps its offer of the guide until it is closed
- For your own installation: before every update the installer makes a copy of the portal (database, files, keys) on the owner's computer; the copy is checked and restored with a double click
- “Sign again” on the patient's card no longer sticks out of the card: it is a framed pill next to the state, with an arrow leading to the signing page for the investigator who can sign
- The cards of My studies showed “0 of N” patients however many were enrolled. Now they show how many are enrolled out of the target, and without a target simply the number of patients enrolled
- The lock forecast no longer says “not before ≈ 0 days” when no part goes down: it says there is no date at this pace instead
This archive is built and waits to be installed on the server.
